Privacy Policy

How we collect, use, and protect information about athletes, parents, and college coaches who use Vantage Recruiting.

Section 1

Introduction

Vantage Recruiting (“Vantage,” “we,” “our,” or “us”) is an AI-powered college recruiting platform built for high-school lacrosse athletes and their families. We help you research college programs, write better outreach to coaches, send and track recruiting emails, and manage your timeline through senior year.

This Privacy Policy explains what information we collect, how we use it, who we share it with, and the rights you have over your data. It applies to vantage-recruiting.com and any related apps, dashboards, and emails sent through our platform.

This policy is effective as of May 7, 2026. By creating an account or using Vantage, you agree to the practices described here.

Section 2

Information we collect

We collect information you give us directly, information generated as you use the product, and a small amount of information from third parties you connect.

Account information

When you create an account, we collect your name, email address, and password. Passwords are hashed with bcrypt by Supabase Auth and never stored in plaintext. We also store authentication tokens (session JWTs and refresh tokens) so you stay signed in across visits.

Athlete profile information

To personalize coach matching, AI email drafts, and your recruiting timeline, athletes can add: graduation year, gender, high school, club team, position, jersey number, GPA, SAT/ACT scores, height, weight, athletic stats, links to highlight videos, a profile photo, and upcoming tournaments or events. All of this is optional, and you can edit or remove any field at any time from your dashboard.

Communications

We store the recruiting emails you draft, send, and receive through Vantage, including subject lines, message bodies, attachments, recipient lists, and the delivery, open, click, and reply events we record. We also store the messages you exchange with Vantage AI (our recruiting assistant) so you can come back to a conversation later.

Usage information

When you use Vantage, our servers automatically record information about your visit: pages viewed, features used, approximate timestamps, IP address, device type, operating system, and browser. We use this for product analytics, fraud prevention, and debugging.

Information from third parties

If you choose to connect a third-party account, we receive:

  • Google Sign-In: your email address, name, and profile photo from your Google account, used to create or sign you into your Vantage account.
  • Gmail Send integration: a refresh token and access token scoped to https://www.googleapis.com/auth/gmail.send. We use this token only to send emails you compose and approve inside Vantage. See Section 4 for the full Limited Use disclosure.

Information about coaches

Vantage maintains a database of college coach contact information (names, titles, school affiliations, and publicly listed work email addresses) sourced exclusively from public college athletic department websites. We do not collect coaches’ personal phone numbers, home addresses, or any data not published by the college itself. Coaches who would like their entry corrected or removed can email us at Zacklein555@gmail.com.

Section 3

How we use your information

We use information to operate the product and provide the features you sign up for. We do not sell your data and we do not use it for advertising.

  • Provide and personalize the core recruiting tools — AI email drafting, coach matching, your recruiting timeline, and progress tracking.
  • Send emails to coaches on your behalf, either through our shared sending domain (Resend) or, if you connect Gmail, from your own Gmail address using the Gmail Send API.
  • Track engagement on the emails you send (opens, link clicks, replies) using tracking pixels and link redirection, so you can see who has read your messages and follow up at the right time.
  • Improve the service — diagnose bugs, measure feature usage in aggregate, and make the product better. Aggregate usage data is never tied back to identifiable Google account data.
  • Send service notifications and important updates (account changes, security alerts, policy changes, billing receipts).
  • Process payments through Stripe when paid plans launch. We never see or store your full card number.
  • Respond to support requests you send us.
  • Detect, prevent, and respond to fraud, abuse, and violations of our Terms of Use.

Section 4

Google User Data

Vantage Recruiting offers an optional Gmail integration that lets athletes send recruiting emails to college coaches directly from their own Gmail account. This section explains what Google data we access, how we use it, how we store it, and how to revoke access.

Scopes we request

When you connect your Gmail account, Google asks you to grant the following permissions:

  • https://www.googleapis.com/auth/gmail.send — Lets Vantage Recruiting send emails on your behalf when you click "Send" in our email composer. We use this scope only to send messages you have written and explicitly chosen to send. We do not read, list, modify, or delete any messages in your inbox or any other Gmail folder.
  • https://www.googleapis.com/auth/userinfo.email — Lets us read the email address of the Google account you connect, so we can display it on your Settings page (e.g. "Connected: yourname@gmail.com") and tag outgoing emails with the correct sender. We do not access your name, profile photo, contacts, calendar, or any other Google data.

How we use this data

  • gmail.send is used solely to send recruiting emails you compose in Vantage Recruiting to coaches you select. Sending only happens when you click "Send."
  • userinfo.email is used solely to display the connected Gmail address in our app and to identify the connected account in our database.

We do not use Google user data for advertising, profiling, training machine learning models, or any purpose other than the user-facing features described above.

How we store this data

  • We store an encrypted OAuth refresh token so you don't have to reconnect every session. The token is encrypted at rest with AES-256-GCM before it is written to our database.
  • We store the email address of your connected Google account.
  • We store the Gmail message ID and thread ID of emails you send through Vantage Recruiting, so we can match tracking events (opens, clicks, replies) to the correct message.

We do not store the contents of your inbox, contacts, or any other Google data, because we never request access to it.

Sharing

We do not sell, rent, or share Google user data with any third party for any purpose. We do not transfer Google user data to any other app or service except as required to provide the Vantage Recruiting features the user has explicitly enabled (for example, transmitting the email body to Gmail's API so it can be sent).

Limited Use disclosure

Vantage Recruiting's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

How to revoke access

You can disconnect your Gmail account from Vantage Recruiting at any time by going to Settings → Email → Disconnect Gmail. When you disconnect:

  1. We immediately revoke the OAuth grant with Google.
  2. We delete your encrypted refresh token from our database.
  3. We delete the connected email address from your athlete record.

You can also revoke Vantage Recruiting's access directly from your Google Account at myaccount.google.com/permissions.

Data retention

  • OAuth refresh tokens: deleted within seconds of disconnect.
  • Connected email address: deleted within seconds of disconnect.
  • Sent email metadata (subject, recipient, send timestamp, Gmail message ID, tracking events): retained as part of your account history so you can review your recruiting outreach. Deleted along with your account when you delete your Vantage Recruiting account.

Section 5

How we share information

We share information only with the service providers that make Vantage work, with people you intentionally share with, and when required by law.

Service providers (sub-processors)

We rely on a small set of vendors to operate the platform. Each of them receives only the data needed for their specific role:

  • Supabase — database, authentication, and file storage.
  • Vercel — application hosting and request logging.
  • Anthropic — AI processing (Claude) for the email writer and Vantage AI assistant. Anthropic does not train on API inputs by default.
  • Resend — transactional and recruiting email delivery when not using Gmail.
  • Stripe — payment processing for paid plans (when launched). Stripe handles card details directly; we never see them.
  • Google — Gmail API for sending on your behalf, only if you connect Gmail.

Recipients of emails you send

When you send an email through Vantage, the college coach you address it to receives the message. Coaches see your name, email address, profile content you include, and any attachments — exactly as in any normal email.

Collaborators

If you invite a parent, club coach, or counselor to your account as a collaborator, they can see what you give them access to. You can remove collaborator access at any time from your dashboard.

Legal requirements

We may disclose information when required by valid legal process, to comply with applicable law, to enforce our Terms of Use, or to protect the safety of our users or the public. Where the law allows, we will tell you before responding to a request that targets your account.

We do not sell personal information. We do not share personal information with advertising networks. We do not run third-party ads inside Vantage. Your data — and especially any data we receive from Google APIs — is used only to operate the service you signed up for.

Section 6

Data retention

We keep data for as long as you have an active account, plus a short period after deletion for backups and legal requirements.

  • Active account data — kept for as long as your account is active so the product works.
  • Email and tracking history — retained for the lifetime of your account so you can review past outreach. You can delete individual messages at any time.
  • Account deletion — you can request full deletion at any time by emailing Zacklein555@gmail.com. We delete your profile, drafts, sent history, AI conversations, and any connected-account tokens within 30 days of the request.
  • Backups — encrypted database backups are kept on a 30-day rolling window. Deleted data is fully purged from backups within 30 days of the deletion request.
  • Legal holds — we may retain a minimal record beyond the windows above where required to resolve disputes, comply with legal obligations, or enforce our agreements.

Section 7

Children’s privacy and users under 18

Vantage is built for high-school athletes, who are usually minors. We take that responsibility seriously.

Vantage Recruiting is intended for users who are at least 13 years old. Because of the U.S. Children’s Online Privacy Protection Act (COPPA), we do not knowingly collect personal information from children under 13. If you believe a child under 13 has created an account or submitted information, please contact us at Zacklein555@gmail.com and we will delete the account promptly.

If you are between 13 and 17 years old, you should obtain permission from a parent or legal guardian before creating an account. Vantage supports a built-in collaborator feature so a parent can be added to your account and stay in the loop on your recruiting activity.

A parent or legal guardian can request access to, correction of, or deletion of their child’s information at any time by emailing Zacklein555@gmail.com from a verifiable email address. We will respond within 30 days.

Section 8

Your rights and choices

You stay in control of your data.

  • Access, update, or correct your profile from your dashboard.
  • Download your data — email Zacklein555@gmail.com and we’ll send a structured export of your account.
  • Delete your account — email Zacklein555@gmail.com with the address tied to your account. Deletion timelines are described in Section 6.
  • Disconnect Gmail at any time from Settings or directly at myaccount.google.com/permissions.
  • Opt out of marketing emails using the unsubscribe link at the bottom of any marketing message we send. Service emails (security, billing, account changes) are not optional while your account is active.
  • Manage notification preferences — toggle in-app and email notifications from your dashboard.

Residents of California, the EU, and the UK: you have additional rights under the California Consumer Privacy Act (CCPA), the EU General Data Protection Regulation (GDPR), and the UK GDPR — including the rights to access, correct, delete, port, restrict, and object to processing of your personal data, and to lodge a complaint with your local supervisory authority. Section 9

Security

A summary of how we protect your data, in plain English.

  • Passwords are hashed with bcrypt by Supabase Auth; we never store plaintext.
  • Gmail OAuth refresh tokens are encrypted at rest using AES-256-GCM with a key managed outside the database.
  • All traffic between your browser, our servers, and our sub-processors is transmitted over HTTPS/TLS.
  • Database access is restricted with PostgreSQL Row Level Security, scoped per user, so one account cannot read another account’s data.
  • Application access for our team is gated by SSO, two-factor authentication, and principle-of-least-privilege roles.
  • We patch dependencies regularly and monitor for known vulnerabilities.

No system is ever 100% secure. Use a strong, unique password for your Vantage account and turn on two-factor authentication on your email provider.

Section 10

International data transfers

Vantage Recruiting is operated from the United States, and our infrastructure providers store and process information primarily in the United States. If you access the service from outside the United States, you understand that your information will be transferred to and processed in the United States, which may have different data-protection laws than your home jurisdiction. We rely on standard contractual clauses and our sub-processors’ own transfer mechanisms where required.

Section 11

Cookies and tracking

We use a small number of first-party cookies and similar technologies to keep you signed in, remember your preferences, and understand how the product is used. The recruiting emails you send through Vantage include a tracking pixel and rewritten click-through links so you can see opens and clicks. We do not use third-party advertising or behavioral retargeting cookies. For details, see our Cookie Policy.

Section 12

Changes to this policy

We may update this Privacy Policy as the product evolves. When we make material changes, we will notify you by email or with an in-app notice before the changes take effect, and we will update the “Last updated” date at the top of this page. Continuing to use Vantage after the effective date means you accept the updated policy.
